RPLOTN January General Meeting
February 10, 2005
Those attending: Annie/TX, Cathy, Colleen/MT, Cyn/CT, Ducky, JanR/SD, JO/IN, Judy/TX, Laine, Lostberrypicker, Louie, Lulu, Mc/be/back/later, Needles, Peggy/TX, QuiltDonalyn, Smoky, Yoyo/MO President qD called the meeting to order and welcome newcomers. Since Smoky had another engagement, qD asked her to make her report on the incorporated or not issue. Smoky asked if everyone had had an opportunity to go to the web page (http://www.rplotn.com/society.htm) to read some of the incorporation information posted there. Some of the questions asked: -legal issues – who is legally responsible in lawsuits? -Will we be able to incorporate federally? -Can a non US resident become president of RPLOTN? -Would we be able to raffle a quilt for funds? Smoky stated the need for: -a state to be selected in which to incorporate -sound by-laws to be in place before incorporating. -search to make sure RPLOTN is not in use in state in which we are incorporated It was noted that we would not be able to vote during this meeting since the by-laws committee had not met and reviewed the by-laws. After much discussion Louie moved that: we table the issue until a later date. Smoky seconded the motion. Motion carried. qD thanked Smoky for the work she has put into researching this issue. The minutes (posted in newsletter) were accepted. The treasurer’s report (posted in the newsletter) was accepted. Annie (Charity Quilts) reported: -43 lotto blocks were received. gAQuiltR was the winner of the blocks. -we have a door prize, donated by Electric Quilt, for the next party -25 preemie quilts are being bound -has photos for next newsletter -a quilt is being donated to Cystic Fibrosis -25 additional quilts in the works Members were invited to ask for batting, backing and tops. Members can finish a quilt and donate in their own region. Charity Quilt committee expenses: Batting (30 yards) -- $162.08 Backing fabric – 49.24 Annie was given $100 petty cash on 2-3-05. Annie would like to change the name Charity Chairperson to Comfort Quilt Chairperson. The by-laws committee will be meeting soon and qD will add that to their agenda. Anyone else who has suggestions of revisions for the by-laws committee should contact qD ASAP. Smoky made the motion to reimburse Annie $211.32 for her expenses. Colleen seconded. Motion carried. Kay will be notified to send a check in this amount to Annie. This will leave Annie with $100 for future expenses. Membership report (Magicat): -2 members resigned -1 new member A roster update will be sent out the second week in March. Warm Hearts report is in the newsletter and a space on the web page will list those who need a heart block or card. Newsletter report (Smoky): -deadline for next newsletter – February 26 -pictures are always welcomed for the newsletter -Smoky printed and mailed a copy of the newsletter for Glenda Paper Piecing Swap report (Willo44): -11 have joined -blocks are coming in -remember to add $2.00 for return postage -full details in newsletter February Party (Needles): -February 12 – Valentine’s Party (7- 11AM and 7:30PM - ??) -email Needles with a list of donated items in pinks and reds – From Our Hearts to Yours -list in newsletter of those who won prizes at the last party and the donors qD has been asked if RPLOTN has letterhead stationery. Also a suggestion was made to send a welcome card to new members. She is looking into the cost for these supplies which would come mainly from donations of members. Birthday report (Colleen): -20 birthday greetings + 1 belated greeting to a newbie -Valentine’s cards were emailed to all members (anyone not receiving these should contact her at: jetnbye61@aboutmontana.net) Louie moved that the meeting be adjourned.
