RPLOTN May General Meeting

May 12, 2005

 

Those present:

 

Annie/TX, CBK, Eb/ga, Gaquilts, Glenda/OR, JanR/SD, JO/IN, Kay/WA, Lulu, Magicat, Margie/ARK, Needles,

QuiltDonalyn,Smoky, Willo44, Yoyo <plus any others who did not speak in the log>

 

The meeting was called to order by the president.  Needles gave her report on the upcoming party (May 21^st).  It will be a mystery block party with directions posted at various times and then people can tell what they made and win a door prize (with the same procedure for the evening meeting).  Participants will be encouraged to mail their blocks to Annie for future charity quilts.

 

Glenda made a motion to accept board reports and Magicat seconded the motion.  Motion passed.

 

Smoky gave an update on the by-law revision:

-by-lays were posted on the web page, asking for comments and suggestions

-separate web page person from newsletter person

-actual dollar amounts removed from by-laws

-definition of ‘member’

-add membership chair to list of board members

-define our year (January – December, July – June, etc)

 

It was suggested that we postpone voting on the by-laws until the July meeting and encourage people to share their thoughts/comments/suggestions.

 

The board has discussed the organization/incorporation issue and suggests that it might be best to drop this, at this time.  Smoky will keep all the information she has gleaned for future reference.  Smoky moved that we drop the issue of incorporation at this time.  Willow seconded the motion.  Motion passed.

 

Smoky reported that the web page has been modified and updated.  We are using only 18% of our storage space.  She asked for patience if a pic does not come up quickly.  Any suggestions or comments are always welcomed.

 

Magicat reported that the membership updates have just been sent out.

 

qD suggested that we consider a Welcome Letter to be sent out with reminders about where to find various things (our yahoo group, web page, notice that newsletter has been published, etc.).  After much discussion it was decided to table this suggestion.   Smoky made the motion to send the snail mail out in September to all active members of RPLOTN, to announce the upcoming anniversary, the upcoming annual meeting, encourage new board members to step forward, and the web page.  Glenda seconded the motion.  Motion passed.

 

Cathy has volunteered to host the new swap (June 15 – September 15).  Watch the yahoo group and web page for details.

 

Other business:

-nominating committee needs to be formed (and names submitted for board members)

-committee needs to be formed to find authors and other quilt professionals for Super Chats

-the reunions went well this month (thanks go to Judy and Magicat)

 

Charity report:

-thank you note from Brian and Sophie Kubiak for the quilt we sent (pics to come)

-letter from Fairlawn Good Samaritan Village, thanking us for 24 pillows that Glenda donated in RPLOTN’s name

-received six quilt battings (twin) from Warm and Natural

-received a box of 30 lbs of fabric from Hoffman Fabrics

-MANY thanks to the overwhelming response from ladies willing to construct quilt tops

 

Glenda moved that we adjourn.  Smoky seconded the motion.  Motion carried.
