GENERAL MEETING MINUTES

Those in attendance were:

Claudia opened the meeting asking for a motion of the secretary’s minute’s report as posted on the website, motion was made by Needles and seconded by PJ. Motion was passed.

QuiltDonalyn gave the treasurers report and a motion was asked and made by Needles and seconded by PJ. Motion was passed. Treasurer’s report is also on the website.

Purple Cathy asked about the new list being formed for the roster. quiltDonalyn said a new mass emailing list is being prepared and as soon as Cathy has letter to attach she will mass email.

SSS Report - 8 SSS’s this year and so far no problems on the report from Magicat our new SSS Mom.

Party report was given by Needles for the Party to be held on Jan 26th at 8pm(CST) in chat. Theme is Welcome to the New Year, what are your plans for the year. Door prizes will be given to those who attend by quiltDonalyn.

Smoky was not present due to work, but she asked that everyone please get stories, photos and reports to her so she can update the website and start the new newsletter.

Charity report - Needles states she still has some quilts to donate that were left over from the Greensburg, KS project. At the same time we asked that all members of the guild, please contact Claudia/ND and quiltDonalyn with an update of fabric, batting, blocks, etc. that were sent out over the past three years. We need to update our inventory of supplies of the guild. Claudia will post to the Yahoo site the request that all contact her with inventory.

New Business:

We are saddening by the loss of Penny/Spain. She was the newsletter editor for the guild for many years and it was decided that we would make two quilts for her grandsons. Purple Cathy will do one of these quilts and we are awaiting word on who does the other quilt.

We are asking that all members of the guild please send to Purple Cathy (address is on the roster) heart blocks, size unfinished 6 1/2”, with a tone on tone white or beige, any color heart, stitched, pieced or applique with our chat name, town/state and country and get them to her as soon as possible.

quiltDonalyn is attempting to get two guest speakers for May and again in Sept. As soon as this information is up she will post to Yahoo and website.

Next month meeting will be posted to Yahoo and website, as will the party.

The Board met at 8:00pm(CST) in the chat room on Jan. 9, 2008.

This was an informal meeting, making some decisions to bring up at the next General Meeting, which will be on Jan. 22, 2008 at 8:00pm(CST), 9:00pm(EST), 7:00pm(MST), and 6:00pm(PST).  Claudia will not be available at this meeting, so Needles will handle the meeting.

 

Minutes were not available at the time, but have been sent to Smoky/EDM - Website Mistress/Newsletter and they should be posted in time for the next meeting.

 

A request was made to please send all reports from all board members to Smoky as soon as possible.  These reports should be minutes from meetings, treasurer report, SSS report for new sign ups, Party reports, President's message, also any new board member should send a bio so Smoky can update the Board Page. 

 

The final Greensburg/KS report should be complied by Claudia and a report will be sent to Smoky for the upcoming Newsletter.

 

Also we do want to make sure Smoky will continue on as Newsletter person, if not then we must start looking for someone to do it. 

 

Needles reported that the next Party will be on January 26th at 8:00pm(CST), 9:00pm(EST), 7:00pm(MST) and 6:00pm(PST).  The theme will be "Welcome to the New Year".  There will be some door prizes.

 

quiltDonalyn is working on getting some guest lecturers for  the new year.  She has just arrived in Florida and as soon as she is settled she will start that task.  Also she is working on updating a mass email list of all members and with Purple Cathy, membership will be sending out in the near future a mass email about updating all pertinent information on members and also on some special plans for the new year.

 

The meeting ended with setting the General Meeting date of Jan 22, 2008.

BOARD MEETING OF RPLOTN ONLINE QUILT GUILD

NOVEMBER 13, 2007

The board meeting was an informal meeting. We did agree to ask for a volunteer to do the writing of the Newsletter. This will help Smoky when she posts to the website.

First was getting a volunteer for the Newsletter and we are happy to announce that Paula/OK has volunteered. She will be contacting Smokey and work out the details.

We will mass email and post to the Yahoo Site when the newsletter is up and running. Also decided was to have the database on the Yahoo Site list birthdays, anniversaries and special events in connection of the Calendar. Irishga will be handling that real soon.

quiltDonalyn will be doing a mass emailing for Purple Cathy to update the Membership roster, also it was decided to do something special for all members for Christmas and also some other special e-mailings.

We finished our discussions and continue on with the regular meeting of the guild.

General Meeting Minutes of RPLOTN Online Quilt Guild

November 13, 2007

Those in attendance at the meeting were Claudia/ND - President, Needles/VP/Antler-OK, Magicat/SSS-Ont, quiltDonalyn/Sec-Treasurer-CT, Lighthouse/MO, Irishga/Birthday Gal -YUK, Jane/TX, Jo/IN, Yoyo/MO and Janw/PA and Paula/Newsletter-OK

The meeting was called to order by Claudia/ND - President and asked for a motion for the minutes of October 27th meeting.

Motion was made by Needles/OK and seconded by quiltDonalyn/CT. Motion was passed

QuiltDonalyn/SEC-Trea/CT gave the Treasurers report: The Treasurer has a Starting Balance of $2045.05 as of Sept 29, 2007, a check in the amount of $56.00 was issued to Claudia for mailing of quilts to Greensburg, Kansas with a final Balance of $1989.05 on October 31, 2007. I will be issuing a check in the amount of $13.06 to Kay for shipping the membership cards and all treasurers stuff. Motion to accept by Magicat/SSS-Ont and seconded by Needles/VP-OK. Motion was passed.

Membership Report: quiltDonalyn-SecTreas> Purple Cathy isn't here, but I know of possibly two new members joining, one is Paula, the other is Judy O'Dannel who met Glenda at the eye doctors. She will contact Cathy and ask her to write a letter to all members which quiltDonalyn will then mass email so they can update their information for the guild.

Antler’s Report: Needles-Vice-President is working on some blocks and finishing up quilts for Greensburg, Kanaka, so far with the quilts that she has and those sent a total of 35 quilts have been sent. PWP/MD will be contacting DR. Beth for the blocks and quilt tops that belong to RPLOTN and also Irishga and Claudia will be contacting Smoky about the quilts for Greensburg, KS. When Greensburg, KS quilts are done a total of about 50 have been made. Letters of appreciation have been sent to Claudia who will send to our Newsletter editor for the next issue.

Birthday Gal Report: Irishga is sending out about 20-25 cards per month and only getting acknowledged on 6-9 - kind of wondering if anyone cares. QuiltDonalyn suggested maybe we should use the database at the Yahoo site. Joanne said she would check into this. If this works we can post all birthdays, anniversaries at the Yahoo Database site and have all information of the person or persons celebrating that day and individual members can send responses to all celebrating.

Jane/TX asked what happened to the Fabric-Stash Bulletin board site and was told Ed took it away because of the spammers.

Warm Heart Report: Terry wasn’t at the meeting, but we all assumed that she sent a card to Claudia/ND while she was in the hospital for surgery.

SSS Report: quiltDonalyn will be mailing out a letter to all those who have participated this year advising them that the revelation of SSS’s will be at the annual Christmas Party. The party will be on December 22, 2007 at 8:00PM(CST), 9:00PM(EST), 7:00PM(MST) and 6:00PM(PST), off course all those in Europe and those DOWN UNDER are always welcome to chat and party. See you all there.

Our new SSS Mom is Magicat and she is waiting for all to contact her so she can assign your SSS. The form is www.rplton.com, copy the form under SSS, then fill out, then send to Magicat via email or you can also snail mail it. This is a real fun program and she will get you a wonderful new sister for the New Year. The SSS program runs from Jan 1, 2008 till the Christmas Party in Dec 2008. So please sign up.

Newsletter Report: Since Smoky was working, nothing has been updated. At the board meeting we discussed if someone would volunteer to write the newsletter and we are proud to say that Paula/OK has volunteered. She will be contacting Smoky and see how it should be done. I believe she will do the writing from all the items sent to her by all members and then forward to Smoky so she can put the photos with the writing. Hopefully we will have a newsletter every quarter of the New Year. So everyone send photos, along with what you want in the newsletter to Paula/OK care of Needles/OK. They share the computer.

October Party Report: Needles/OK said lots attended the party in disguise and she would like all those who did attend to please contact her, so she can send out the door prizes. There were plenty of ghoulish people there I know and I couldn’t figure out who was who. So let Needles know who you were.

November Party: “HOW THANKFUL WE ARE” Party will be held in chat on November 17, 2007 at 8:00PM(CST), 9:00pm(EST), 7:00pm(MST) and 6:00pm(PST). See everyone they’re in costume, let’s Party.

Brown Bag Challenge: I have six people signed up for this challenge. The bags are arriving, still waiting for two and then I will send out. The Brown Bag Challenge begins when you receive the bag till March 22, 2008. The item must be in the person’s hands on that date and revealed at the party that evening.

New Business:

Claudia will be sending a mass email to all members, via quiltDonalyn’s computer to show the letter’s we have received from those in Greensburg, Kansas along with photos of the quilts that we donated. This will be done in the next couple of weeks, so everyone should be prepared for mass emailing from the guild.

quiltDonalyn will be doing a mass emailing from the board. The first is a letter asking that all who are members, please reply with updated email addresses, chat names, real names and snail addresses so that the new Membership Chairperson Purple Cathy, can update the roster and then we will send it out once it is completely updated. Also, in this letter we will be advising all to join the Yahoo Site, since we can’t post any longer on the bulletin board at Fabric Stash, this way we all can keep in touch. Also on the Yahoo site will be a database for upcoming events and birthdays and anniversaries.

The second part of the mass emails will be Christmas, so be prepared to see what the Board has done.

QuiltDonalyn is working on a couple of Guest Speakers for the New Year. If you have someone you would like to have as a guest speaker please contact her at DJ1860@sbcglobal.net.

Bingo will be starting up again on the Yahoo RPLOTNONLINEQuilt Guild site. Needles and Paula/OK are working on it.

The Board is working on a very special announcement and we will be advising all members, but keep the first Saturday in January open. Nothing else can be said here in the minutes.

Even though we only had a few non board members at the meeting, the meeting went well. We are working together to bring back the old time chat, the making of quilts for those in need and also for the friendships we have made over the past 11 years. We are so grateful that ED has kept the chat room alive. We have a wonderful webmaster, Smoky; we have the Yahoo site where we can keep in touch when not in chat. All that the board is asking is that new and old members please come to the meetings, please participate in chat and please comfort those who need it.

Meeting was adjourned with a motion by quiltDonalyn and a second my Magicat. Motion was passed.

October 26, 2007 - General Meeting of RPLOTN Online Quilt Guild Minutes

Those present at the meeting were, Claudia/Pres, Needles (acting VP), Lostberrypicker/MI-Membership, Kay/WA-Treasurer, quiltDonalyn/CT-SSS‘s Mom, Magicat/Ont-CA, PWP/MD, Glenda/Arizona, Cathy/CO, Irishga/Yukon/CA, pjDon/PA, Sally/Il, and Sue

Claudia opened the meeting with a welcome to all and asked for reports from the following:

Kay gave the treasurers report: Starting balance was $1960.05, a check was issued for $56.00 for postage on mailing quilts to Greensburg, KS, leaving a balance of $1904.05

QuiltDonalyn-Mom of SSS made a motion to accept the treasurer report and Glenda Seconded. Vote was called by Claudia motion passed unanimously.

quiltDonalyn gave a report on the SSS program and states that there are no problems except one that she are working on.

Claudia asked for a motion to accept the minutes from the September 27, 2007 meeting, a motion was made by Needles and seconded by PWP, motion was accepted by all.

Magicat had a question regarding the SSS Program, when it starts, quiltDonalyn replied with the answer that the program is from Jan 1 to Dec 31, 2008. Requests for joining the SSS program begins on November 1st, with those participating notified mid-December that they will have for the New Year.

Claudia asked Lostberrypicker/MI for a membership report and said that there have been no changes.

Claudia asked Needles for a Party Report.

Needles said there would be a party in chat on October 27, 2007 at 8pm(CST), to come dressed up for a SPOOK Party. quiltDonalyn asked if door prizes were needed and PWP offered a quilt book.

Old Business:

Claudia asked if there was any old business. quiltDonalyn, brought up the Brown Bag Challenge, stating that so far only 4 people have signed up. She will post to the Yahoo site about sign ups and also will mention in the Newsletter again. Cathy asked when the Brown Bag Challenge was from, it is from Nov 15th to March 22, 2008, sign up by Nov 15th with bags of 5 FQ’s to quiltDonalyn along with the form which can be found on the website www.rplotn.com or the yahoo site under files.

Claudia mentioned that there were no reports from Birthday Gal, Warm Hearts and Newsletter. We know that Gaquiltr/GA/NY was at a retreat, Irishga was looking for someone to take over Birthday Gal, but will continue on (she came in late) and nothing from our Webmaster/Newsletter Smoky. Smoky where are you?

Again Claudia asked for any other old Business.

Glenda asked that we take time here to applaud those who worked on the Kansas Quilts. All in attendance showed their happiness in doing a total of 39 quilts, with some more coming in.

Claudia Thank You Glenda...It was a good project and I enjoyed all that sewing!!... And I too thank all those who helped and sewed and encouraged us to keep going. I got a lovely note from Dea... she will put in the newsletter and a gal in KC sent 8 quilts also

Minutes of General Meeting September 27, 2007

The General Meeting of RPLOTN was called to order at 9:00PM(EST) by President Claudia/ND. Those present were Claudia/ND, Needles/OK, PWP/MD, JO/IN, Lighthouse/MO and quiltDonalyn/CT.

A motion to accept the minutes of the August 23, 2007 General Meeting was made by LH/MO and seconded by PWP/MD. Motion carried.

There were no reports from Treasury, Membership, Warm Hearts and Birthday, but a report was made by quiltDonalyn regarding SSS.

So far everything is apparently going well with SSS with no word of problems receiving and sending from SSS. If there is a problem, please let quiltDonalyn know and she will take care of the problem. Also, revelation of SSS will be at the Christmas Party in December.

The was no Newsletter or Website report so we will be checking with Smoky. By the way, she needs reports from all officers and committees as soon as possible since it soon will be time for the next quarterly report. Claudia has sent pictures of PWP and her quilt along with the 20 quilts she has for the Greensburg Project.

QuiltDonalyn-SSS Mom reported that Smoky did update the SSS part of the web page with her new email address and also changed the MIRC number on how to Chat part of website.

Claudia/ND-Pres I am going to continue on with old bus.

Old Business:

Nominating Committee comprised of Needles/OK and PWP/MD have reported that they have contacted the following people who were interested in holding positions on the board of R.P.L.O.T.N. Online Quilt Guild:

The positions open for this year’s election are:

Vice President - OPEN

Secretary/Treasurer - quiltDonalyn/CT

Membership - Purple Cathy

SSS - Magicat

QuiltDonalyn suggested that Needles/OK and PWP/MD contact Magicat and Purple Cathy one more time to be reassured they do want to serve these positions. Also it was recommended that they contact Lostberrypicker/MI and Kay/WA, if either one of them would be interested in being Vice President.

Also, PWP/MD has volunteered to be the East Coast Antler.

The question arose when do we vote, and since it is only one candidate at this time running for offices, that it would be voted on the next General Meeting in October. This way all members present at that meeting can vote for the slate of officers. Also, it would eliminate the need to send emails along with having someone do the vote counting.

The nominating committee will post on October 1st to the Yahoo Group RPLONTOnlineQuiltGuild site the slate of officers for elections and also at our website www.rplotn.com. They will post repeatedly at the Yahoo site so those members will know of the coming election in October.

It was discussed and agreed upon to have our next General Meeting of RPLOTN Online Quilt Guild will be on October 25, 2007 at 8:00PM(CDT), 9:00PM(EDT), 7:00PM(MDT) and 6:00PM(PDT). At this meeting all members present will vote on the slate of new officers for the guild presented by the nominating committee.

Greensburg, KS Project

We are still waiting for Beth and Smoky to send their quilts to either Needles/OK or Claudia/ND. These quilts along with the 20 that Claudia has and I believe 6 or more that Needles has will be sent to the representative Dea in Greensburg, KS within the next few weeks. Needles will be contacting Dottie/KS to see if they can meet in Greensburg, KS for a presentation.

Also, Claudia will be submitting request for reimbursement of mailing of the quilts to Kay/WA-TreasurerNew Business

Party Time

Our next Party will be this coming Saturday starting at 8:00PM(CDT), 9:00PM(EDT), 7:00PM(MDT) and 6:00PM(PDT). The theme of the party will be “Yeah, Back to School”. Needles will be advising of this party on the Yahoo Group Site. She also said to come dressed in disguise of your favorite time in High School or perhaps your least favorite time..

Brown Bag Challenge

Claudia asked about the Brown Bag Challenge. quiltDonalyn has sent all the information to Smoky for the website and newsletter. She is hoping that the website will have all the information of the Brown Bag posted within the next few days. Sign up for the Brown Bag Challenge is from October 1st to November 1st. She must have all brown bag challenges to her by November 15th, so she can send them out. Revelation of the Brown Bag Challenge will be on March 22, 2008 at our party in the chat room. So everyone please sign up. Needles asked how many FQ’s, and was told 5. There is also a form that must be enclosed in the brown bag. Again, check the website www.rplotn.com for all details

I imagine it will be a few days till we hear from Spacer.
I have the address for Brenda's DGD and I am going to send a postcard.

<quiltDonalyn--SSSMum> I have been updating a mass email list for RPLOTN.  I am almost done and will send out another mass email next week. Lost has received back a few changes in addresses and such.

Greensburg Quilt Project..........
<Dottie> I'm about finished with the 9-patch.  Should I send them to you for quilting?
<ClaudiaND-Pres> That is fine Dottie.  I would be happy to quilt that for us........((((Thank YOu))))) I am waiting to hear from my contact in Greensburg so along with talking about the project we need to do another quilt count.
<Dottie> I was just wondering how she would decide who gets the quilts.
<ClaudiaND-Pres> well, I have left that up to her and the townspeople. I know that others have also sent quilts......so I imagine they sort of know who will still need them.  I have rec'd 12 finished quilts.  I have 6 that I am quilting, make that 7 with Dottie's.   I know of 7 others that are coming.

<ClaudiaND-Pres> I got a msg from another gal who had brought quilts to the town and she said they were so appreciated and very excited that people were thinking of them.   And yes, they still needed more.  So I think we are coming along real well...........and I will be taking them to Greensburg.....and would love for anyone who is able to meet me there !!!  There are also others in nearby town who lost their homes and belongings too.  So Again........Thank you so much for all your help  !!!.......

<Needles>  I would like to thank everyone who are helping us with the Greensburg project.  I know that everyone is busy with their summer projects, but if you could just take a few minutes a day and start on a quilt it sure would help us out.  10-20 minutes a day for a week or so would have a nice quilt done for someone who really will need it.

BUT we can still use some more quilts. there is also a need in neighboring towns.....so I don't think we will end up with too many..........no such thing as too many.

<quiltDonalyn-MUM> Okay according to the bylaws here is what is stated - Budget as voted by full active membership in 2004 is broken down as follows: 30% of total treasury at any given time goes for quilt batting, 30% of total treasury at any given time goes to backing fabric, 30% of total treasury at any given time goes for postage, 10% of total treasury at any given time goes for miscellaneous.  The same for others who will be shipping multiple quilts to either me or someone.

<quiltDonalyn-MUM> So therefore I see no problem in shipping the quilts to Claudia and being reimbursed for the postage, it has to be 30% of the monies on hand and we have monies just for this situation

Board Meeting  - June 14, 2007

June 14th, 8pm CST Present were Pres, Claudia in ND, Mary Nelson (Needles) Vice Pres., and Terry/GA - Warm Hearts committee. Claudia was unsure if there were  enough members present to make a quorum and so we did not make any motions or vote on any of the agenda. Pres. Claudia listed agenda and we did go over those items and had some discussion of them.  

Vice Pres. Mary announced that due to a very busy summer for members we will NOT have any guild parties for June, July and August.   It was discussed that we are still moving forward with quilts for KS in hopes of getting enough to warrant driving them to KS....   Intent list - So far we have Claudia - 4 Kristine (Willo)- 2 Mary (Needles) - 3 Terry/Ga - 1 Other members - no count yet Fargo group - 3 I am also going to ask the QGND (Quilters Guild of North Dakota)  if they have any quilts they would like to donate.  I will address the guild on Saturday, June 16 in Fargo ND.   Donation letters - Claudia sent out 15 letters asking for donations of backing fabric, batting and thread... These letters were sent to various companies across the US...these companies were the suggestions of members and result of some searches.  If any donated goods are sent to Claudia they will be distributed to members who need either fabric, batting or thread to finish their donation quilts.   The June General Meeting of the RPLOTN will be in the Fabric Stash Chat room on Wednesday, June 27 at  9pm EST, 8pm CST, 7pm MST and 6pm PST.   Also Claudia has finished Peni's  Warm Hearts Quilt and will take a picture for the newsletter and then mail the quilt. Meeting adjourned.

QD called the meeting to order

QD asked for a motion to accept the minutes and the treasurer report from the Newsletter.

Needles made the motion to accept.  

JanR seconded the motion.  

QD asked if there was any discussion, there was none.

QD called for a vote to accept the minutes and the treasurers report.   7 aye votes, no nay votes.

QD asked Needles for a report on the SPOOK PARTY.

Needles reported “Yes our spook party will begin at 8:30 p. m. in the chat room and last until we all get tired. I would like for everyone to come in costume, if we guess who you are you will win a prize.  Lots of goodies at the party , so lets all show up and have some fun. the 28th this coming Saturday.  Eye balls are in this season for an appetizer. .............hehehhe”  

QD then moved on to Lost for a membership report.

Lost reported “We have a new member to the group.  Kathie Zulaski from Tacoma WA .  Group please welcome her. Kathie we look forward to getting to know you and hope you enjoy our group.  End of Report”

QD then informed the membership that “Newsletter Report is in the Board Area of October Newsletter, Smoky is working on Tuesday's evenings so she wanted everyone to remember to send in reports, photos of quilts and all relating to Halloween and Thanksgiving and also any family, pets, etc and recipes”

QD then reported “Warm Hearts, Birthdays and Anniversaries and SSS programs are up and running fine, I know that Terry has sent a few get well cards this month and that the SSS program is winding down for the year”

QD then moved on to Old Business.  Old business, I was hoping the nominating committee would be here, but seems Dottie and Sarah are busy tonight.  The nominating committee posted the slate of officers and we finally did get the site for voting up and running.  Out of about 250 members we had a response of 36 bouncing emails, one person asked to be removed from the roster and a total of 77 yes votes for the new slate.  There were no no votes received and no abstains.  So I want to say thank you very much to our nominating committee for doing a great job, to Smoky for setting up the web site and for Lost for providing the updated Roster.”  

QD then moved on to the Opportunity Quilt.  Opportunity quilt, only 5 weeks left for your chances on the Opportunity Quilt, I understand from Kay she is receiving monies for this quilt.  Get you chances into her by Dec 13th . Cost of chances are $5.00 for one or 6 for $25.00.  The quilt will be won on Dec 16th at the Christmas Party”

QD then moved on to Secret Santa “Secret Santa we have a total of a dozen ladies sending Secret Santa Christmas Ornaments”  

QD then moved on to another topic.  At the last meeting we thanked LS for her lovely donation of the Alzheimer's Quilts.  Since we had Ami Simms for our guest lecturer we have been thinking if everyone could make at least one lap quilt and then give it from RPLOTN to an Assisted Living Residents for Alzheimer's.  What does everyone think?”  

Claudia asked “Do we give to our own areas?.......or is there somewhere we send them ?”

QD replied “I say we give in our own areas, with a letter from RPLOTN and make sure it has the RPLOTN Quilt Label attached to the quilt”

Needles asked “Where do we get the letters from?”

QD replied “I will make copies of the letter and send them to those that have quilts to donate.  I will also make labels and send those too.”  

QD then asked if there was any other old business, there was none.

QD then asked if there was any new business, there was none.

QD then said “Well I want to thank everyone here and through out the guild in letting me President these past 2+ years.  It has been a very rewarding job and I have learned so much.  I want to thank all the board members that have severed with me these past two years and just give every one a real big ((((((((((())))))))))))).”

Many then expressed their thanks to QD.  

QD then said “I now turn this meeting over to your New President, Ms. Claudia/ND”

Claudia/ND then said “Well.....this is really an honor for me........Thank you for all who voted . and thank you for all the faithful members of the RPLOTN !!” I am very nervous ........scared to death !!.......but I will try to follow in QD's footsteps and keep us going and quilting.”

Then conversation followed as the date for the next meeting was discussed.  It was decided that the board would meet soon and set a date for the next general membership meeting.

The meeting was then adjourned.

qD asked for a motion to accept the minutes and treasurer's report from the newsletter [website].
Glenda/AZ made the motion
Willo44 seconded.
qD asked for questions, there were none.
Vote to accept the minutes and treasurer's report was 6 ayes, 0 nays.  Motion passed.
qD then asked Needles to report on the upcoming party.
Needles said "Yes our party for this the 16th of Sept. will be a tool party. It is at 8:30 p.m. CDT here in the chat room.  Now this means if you have more of one thing and you ask a question like I have six of these and want to get rid of two of them and they are round and white and you use them for embroidery ."
Willo44 asked if she could donate her patterns. She would not be at the party, so qD will ask questions for her, and then Willo44 would send her patterns on to the winners.
qD then moved on to the next topic," The next item is a report on the Brown Bag Challenge. It went fantastically well, we all got brown bags and made wonderful items from those bags. Everyone enjoyed doing this and I think we should do it again next year. Photos and all can be found on the Website at www.rplotn.com".
qD then asked Lost for a membership report.
Lostberrypicker reports: "Membership stays the same. I have had a few more members verify their addresses and a few changes. Anyone who would like a new roster please email me at lostberrypicker@gmail.com and I will get one out to you as soon as possible. I am waiting to hear from a couple more people who I know have changes to give me. Thanks"
qD then reports "Smoky is on the road in Washington State and sent her report to me, the newsletter should be on line by Sunday, vacation got in the way and she has been doing it as she travels, but having some uploading problems"
qD then asked Claudia and Willo44 for a report on Charity.
Claudia reported "The Antlers need more blocks." "Summer has been very quiet....so I hope now with fall ....everyone will be back sewing again......guess that is all....thanks".
Willo then reported "I am an antler and I have 16 blocks"
qD then said "Thank you Claudia and Willo, I also know that Beth has a couple of tops with backings that she has received from members to be quilted for charity. Also a member has asked for some help with quilts for a family friend. I will post that info on the website"
qD then moved on to Warm Wishes "Okay I know that GAquiltr has sent out a couple of sympathy cards to members, PWP lost her father and someone else did too, can't remember the name right now. But Claudia is requesting Warm Heart Blocks for PWP.  Birthdays are doing really fine."
Glenda then said "May I thank Lost for the fine job doing Colleen's Quilt....It worked up really nice" and qD also thanked Lost for the good job.
qD then moved on to "Okay I promised a nominating committee and Dottie and Sarah/TX have agreed to do it. I have advised them that Cissy Kinkead has sent an email to all saying any position she would take and Claudia agreed to run as President. Therefore, they will be contacting those people to verify and then have Smoky post to the Voting site. So to answer your question Judy no she has not been told yet, but I am sure you will advise her"
Dottie then said "Sorry I was so late. Didn't know where we were on the agenda"
qD then said "that is okay Dottie, and you and Sarah can coordinate the nominations and advise Cissy"
qD then asked "Are there any nominations from the floor"  There were none.
qD then said "Also the counters for the voting will be Hiload/CA and Sew N So/MN they will dealing with Smoky on the voting site. Voting will be taking place from October 1 - 16th. Smoky will post the site to go to for voting. Also if there is anyone who wants to run for an office they can contact Sarah/TX or Dottie/KS. The next General Meeting will be on October 17th, same times"
qD then asked if there were any questions, there were none.
qD moved on to new business.
qD announced "The first thing is we are having a very, very special lecturer here on Sept 27th at 9pm (EDT), It will be AMI SIMMS."
Dottie then said "We have had Ami at our Guild and she is a riot. You won't want to miss her."
qD then said "that is why I got her to chat with us. More details about Ami will be on the Web Site.  So everyone be here, pray that the room will be up, cause Ed will be on a fishing trip that week. I hope we have lots and lots of questions and comments for Ami. Mark you calendars Sept 27th"
qD then moved on to "I would like to have a Christmas Ornament Swap. Sign up for it by emailing me by Oct 1st. The way it will work is more like a Secret Santa. I will match you up with someone who has signed up and then you make an ornament, it has to be hand made, not store bought. It can be crochet, tatted, knitted, quilted or sewn. I hope you all will participate and make someone happy"
qD then asked "Needles what is the October Party Date and Theme"
Needles said "Oct. the 21st. at 8:30 p.m. CDT and its Spook Night. So come dressed as a costume and let us guess who you are. Lets have some fun . Hope to see you all there."
qD then asked "Okay is there any other new business? Any type of discussions, and ideas?"
Glenda then asked "For Antlers.....Suggestion. When blocks are not enough for a quilt, suggest they be made up into place mat sets or wall hangings....Some of the smaller items are just as precious"
Lost then said "has anyone heard from Colleen. For those who don't know her quilt was delivered to her yesterday so we do know she has it and am waiting to hear from her"
Needles then said "About the Oct. party if any of you want to dress up and have a picture taken and send it it in to the newsletter it would be cute . Thank you."
Willo then said "no one asked but I have 22 Anything Goes swap blocks"
qD "wonderful Willo, someone will be getting a real nice charity quilt or maybe two or more"
qD then asked if there was anything else. There was not.
qD asked for a motion to adjourn.

qD asked for a motion to accept the reports in the newsletter.

Dr. Beth motioned to accept.

Needles seconded the motion.

qD asked if there was any discussion about the reports. There was not any.

Six motions to accept, none against.

Motion passes.

qD then asked Needles for a party report.

Needles said "Our party for this month will be Saturday the 19th at 8:30 CDT. It will be a welcome back party to everyone. We also will open and find out who sent who what on the Brown Bag Challenge. I hope to see a bunch of you there. And don't forget to send Smoky a picture of your Brown Bag Challenge."

qD thanked Needles, then moved on to asking for a charity update from Dr. Beth.

Dr. Beth stated "We have received no blocks from members for quite sometime....The block patterns are in the newsletter and we need more blocks for the drawing as well as to make charity quilts. I have received no requests for charity quilts." "I have a couple of quilts almost finished that will be donated to a homeless shelter in the name of RPLOTN, pics will be sent to the newsletter."

qD thanked Dr. Beth and said "oh thank you very much Beth and I also have several quilts to take to the Children's Hospital in Hartford along with a few to the Shriner's in Springfield Ma".

Claudia arrived at this point, and qD asked her if she had anything to add about what is going on in the charity program.

Claudia stated "Just that we really need everyone to make and send blocks to the Antlers.....Thanks"

qD said "I know that Willo, Wendy/Ont and ButterflyBrenda are looking for blocks too."

Dr. Beth asked if she could say something else, qD said yes.

Dr. Beth said "I have purchased a mid arm quilting machine and would love for members to send orpan blocks and/or ufo tops that they no longer want for me to quilt and donate to charity."

qD called on Needles to comment.

Needles said "So please everyone PLEASE send your blocks and help us out."

qD commented to Dr. Beth "I think we should put that in the next newsletter Beth, a big write up and maybe we can generate some quilts."

Needles said that she had a couple of tops that she could donate.

Yo-Yo asked "any size for blocks? Or true orphan blocks, random?"

Dr. Beth said to send anything you want.

qD then moved on in the meeting "Okay moving on, Warm Hearts, Gaquiltr would like to hear from anyone who knows of members who are ill or have lost a love one."

qD then moved on. "Okay Membership Report we have had a few people with some address changes and a new roster will be forthcoming"

Needles then had a question for Dr. Beth. She asked if Dr. Beth needed Needles to send batting, Dr. Beth said she could if she wanted to, but it was not necessary.

qD then moved on. "Brown Bag Challenge, well I got my challenge in the mail, as I think everyone else who is participating in this, A couple of people have notified me that somehow the packages came back to them, very puzzling but that they have resent them, they might not get back to the proper owner until early next week. So I hope all have mailed out the brown bags. Remember revealing is on Sat at the party. Also remember to take a photo of it for Smoky to put in the newsletter."

Pjdon had a question. She asked "unfortunately some people will not have their challenges to them..........what should they do on sat?" "it seems a shame some will be left out."

Needles said "PJ they then will open them when they come and then tell us about them." "Sometimes things happen that cannot be controlled especially by the United States Postal Service."

qD stated "Yes if you haven't received your brown bag on Sat, still come in, we can at least share and then when they do show up they can come in and share again."

Polly TX then suggests "If anyone gets their brown bag package back by Friday, Express Mail will get theirs to them in 24 hours. Just a suggestion."

qD then said "I know a couple have to go and come from Canada Polly, so that is the problem I think."

Polly TX then said "Ok, I understand, thanks."

qD then moved on to the Newsletter. "Newsletter, Smoky wants stories, recipes, photos anything and everything for the next newsletter."

qD then moved on. She stated "Okay Secret Sister's Program is really up and running, I think everyone is having a great time with their secret sister's this year, remember we will be revealing in December."

qD then moved on. She said "Opportunity Quilt. Come one ladies, get your chances for this large Auntie Grace Snowball and Nine Patch Quilt. Quilting was done by Sandy Sturgis of Florida and she has won several awards for her quilting. Chances are 6 for $25.00 or 1 for $5.00. Send chances to Kay/Wa."

qD moved on to new business, and Lighthouse-MO joined the meeting.

qD started new business with "I need to have a nominating committee for elections to be held in October. Do I have any volunteers?"

Peggy asked "For committee or for names?"

qD stated "committee"

Peggy asked "do you have anyone what would be willing to take an office?"

qD stated "Not yet"

Peggy stated "make getting a committee easier."

qD asked "LH would you like to be the head of the committee?"

Lighthouse stated "No thanks qD."

qD stated "Okay we do need a committee according to the bylaws, and they have to be named by Sept 1st, so therefore is anyone wants to be on the nomination committee they can contact me or any other board member"

Irishga joined the meeting at this point.

qD stated "Also if you are interested in running for an office please send an email to any board member, we will see that the nominations committee has the name, and for what position."

qD then moved on. She stated "Swaps seemed to been real good this year. so It is time to think about the next swap. Does anyone have any special type of swap they would like to do."

Needles had a comment "I was just going to tell Irishga that we need a communittee for the election of officers."

qD stated "Also anyone can be on the nominating committee that is a member of RPLOTN. Even officers or board members."

qD then asked "Needles the next party after this Saturday will be what?"

Needles stated "The next party will be the 16th of Sept. and the theme for it is a Tool Party."

qD said "That sounds real interesting and all details of it will be in the newsletter right?"

Peggy stated "then we will have a nom. committee by then."

qD said "we will have a nominating committee by Sept 1st.

Peggy asked "Will it be posted in the newsletter?"

qD said " yes and we will have the same site as last year for voting."

qD then asks "Okay has anyone any suggestions for a final swap for this year?"

Needles suggests "How about make any type of block you want and send it in and then put the blocks together into something. Of course you will have to decide on the size of block."

qD said "That sounds interesting Needles, maybe make them 12 1/2" squares."

Needles said "Yes just so they all will interchange with each other."

qD said "also these swaps could be made into tops and then sent to Beth for quilting and be donated in RPLOTN Charity."

qD then moved on "Okay our next lecturer will be letting me know after Sept 6th, when she will be able to do a chat with us. This will be an informal chat with a famous quilter and teacher. And if all goes well it will be in either Sept or early Oct. I will let you know all information about it in the newsletter and also on our web site."

qD then asked if there was any other new business to discuss. There was not any, so she asked for a motion to adjourn.

Minutes for General Membership Meeting May 9, 2006

There was a computer glitch in the recording of the log, so this is from what is remembered by our president, qD.

We did approve the board reports.  We confirmed ButterflyBrenda as new SSS Coordinator.  We spoke about the party on May 13th, the opportunity quilt to be drawn on May 13th at the party and that the next meeting would be scheduled at a later date.  Brown Bag Challenge was discussed, no new or old business, short and sweet.

We apologize for the error, but luckily it was a very brief uncomplicated meeting.

Smoky notes that an email came thru regarding Red, White and Blue blocks as discussed in the Agenda, but that has been put aside for now as there are a lot of projects on the go in RPLOTN.  Also, there has been no response to her regarding the Dear Jane project except for one person this week (June 8th), and nothing happening with the Postcard project.

qD called the meeting to order.
qD asked for a motion to accept the reports as listed in the newsletter and on the website.

Kay/WA motioned to accept the reports.

Glenda/AZ seconded the motion.

qD asked if there was any discussion, there was none, so qD called for the vote.

Motion carries with 12 votes, 15 members present.

QC had to leave the meeting at this point. She reported 11 secret sisters, with no new sign ups.

qD then called for old business.

qD said "Opportunity Quilt.  Come on ladies get your chances into Kay, drawing will be on May 13th at 10pm(EDT) in chat at Mother's Day Party" "chances are $2.00 or 6 for $10.00 real cheap"

Kay then reported that she had received no money for the opportunity quilt yet.

qD then said "I am sending a couple of chances in this week Kay. Ladies show to friends the quilt on the web site or at RPLOTNOnlinequiltguild Yahoo Site.  You will be surprised in getting someone to buy a chance. Send money to Kay and money must be to Kay by May 12th."

qD then moved on to Swaps. qD said "We have several swaps going on Dear Jane Swap with QC and Smoky, we have the Brown Bag/Envelope Swap with me, so please sign up and have some fun.  Also let's start making those charity blocks that are up on Lotto Blocks.  The Antlers are in progress of making up quilts and need more blocks.  Remember you can win a slew of blocks at the end of the year. So far I have six signed up to do the Brown Bag/Envelope Swap.  Already have received to brown envelopes, sign up by April 15th via email to me. Are there any questions regarding the swaps, charity blocks, etc. ?

Glenda/AZ reported that "Have 3 dozen Comfort Pillows going out next week...to local hospital. Used blocks for them"

qD then said "wonderful Glenda good job"

qD then stated "Okay Lost can you update the membership information please?"

Lostberrypicker reported "We have two new members.  The new members are Patricia O'Conner and Gayle DeForest.  There are also three others who have contacted me about joining and I am waiting to hear they have joined." "There have been a lot of updates to the roster and I am asking that anyone who would like another updated one to please let me know at lostberrypicker@gmail.com.  Rather then sending a bulk email out to everyone and only having them go to members spam or bulk folders it would be better to contact me and ask for one.  And please be sure to add my email address to your address book.  It is very similar to my old one but not quite"

qD called on Kay who stated "I received money for 2 more members yesterday but haven't had time to send the info in about them"

qD then moved onto the newsletter and website. qD said "Guess Smoky isn't here for the meeting, must be at  a local guild meeting, but Ladies she wants photos, new items, birth announcements, pet pictures, travel pictures, anything and everything, so please send them to her for the newsletter,  also Awlrite is the proof reader for the newsletter now."

qD then asked if there was anymore old business.

Zephie said "I would like to thank board and all the member for of the group for allowing me to a letter in the news letter and on the bullentin board regarding the 200 Wishes quilt and the need for fat quarter and note to go with the fat quarter.  Thank for you kindness for the new baby Krystani An."

qD then moved on to new business.

qD stated "Glenda - Birthday Gal is retiring, and we have as Irishga to be her replacement,  I guess we need to vote on that position, is there anyone else who would like to run for this position."

Lost nominated Irishga to the position, and Needles seconded the motion.

qD asked if there were any more nominations, there were none. qD asked if there were any discussion or questions. There were none. qD called for a vote.

9 ayes, 13 members present. Irishga will take over the position of Birthday Gal in May.

There were many thank you’s to Glenda at this point in the meeting.

qD then moved on to the next order of new business. "Needles what is the party theme for Mother's Day Party is on May 13th at what time?"

Needles replied with "qD have not thought that far ahead yet, "Hearts of Flowers" is the theme and the time will be 7:30 p.m. the night of May 13th"

qD then said "Okay I would like to open this meeting to new ideas for the guild to pursue. don't all talk at once.  We have several people here and we need some ideas, I do have a special quest speaker lined up for the fall.  That is all I am telling you now, but she is a mega speaker"

qD then said "What do you ladies want to do as a project for all guild members to participate in?"

Needles said "Why not each one of us make a different kind of quilt block? Each person make a different block and then we put them all together and make a quilt top out of them."

Claudia expanded on that idea with "maybe a red/white /blue blocks.......in even number of sizes like 8" 10" 12". Then using sashes or filler pieces to fit them together then we would have a "theme" and similar colors."

Glenda had an idea also "Do an interview with each member..... I would like to know what the favorite style of quilting is....how they got into quilting...etc etc Interview those with shop experience...LA experience etc."

Both ideas were well liked. qD said "On the quilt if we got every member to do an 8" block, it would be one huge quilt, we could use it as our opportunity quilt for 2007, or we could make small lap quilts out of it and give to charity"

Pjdon the suggested "just an idea to incorporate each idea............everybody could do a red/white/blue block and along with that write just a short biography with Glenda's idea to be featured in the newsletter periodically"

qD then stated "I would like to start a recipe page on the web site, and Smoky has agreed it would be nice."

Smoky said "i just put in there what you all send!!  you make the newsletter!!"

qD then said "okay So Needles I will appoint you to get together with Claudia and start the membership red/blue/white any type block quilt and to smoky with details for web site and newsletter as well as all other sites."

qD asked for a motion to adjourn.

qD called the meeting to order, with reminder to use ! for comments and ? for questions.

qD asked for a motion to accept the reports in the newsletter and the website.

qD asked if there was any discussion of the reports. There was none. qD called for the aye votes.

7 ayes, none opposed. Motion passes

qD said "there is no old business, so we will move on to new business."

First order of business: BROWN BAG Challenge. qD said this about the challenge: " Please send me your name to join this challenge.  It should be lots of fun.  All you have to do is use an index card with name, address, etc on it, stuff it in brown lunch bag with 5 FQ's 100% Cotton .  Don't mark the bag, I will then send to a person on the list and you make what ever you wish for the person and send to them.  Sign up is till April 15th,  So remember join this challenge".

Then Lostberrypicker brought up this idea: "can I suggest that we put the fabric for the brown bag challenge in a brown envelope instead of brown bag  ...we don't have any bags.  An envelope inside an envelope then the inside will be all ready for you to send back out qD just address it." qD declared this a great idea.

Second order of business: Needles with the details for the March Party. "March party is the theme is National Quilt and St. Patrick's Day all wrap into one. We will be having a party the night of the 18th.  Questions on quilting and things about St. Patrick.    Time of party will be 8:00 p.m. CST. End Report."

Last order of business: The last item tonight is we that have another opportunity quilt up for raffle.  The board decided to charge the following cost $2.00 per ticket or 6 tickets for $10.00.  The quilt drawing will be at the Mother's Day Party on May 13th. Since this quilt is a small one compared to the last one we decided to charge less. The last opportunity quilt was won by Jenni Lampro. Details are in the newsletter and under Opportunity Quilt.  The last Opportunity Quilt for the year will be posted in June, it is a very large quilt, size and all will be posted and we shall decided on what to put a price on in May. The last opportunity quilt gave a total of $205.00 towards the treasury.

qD then asked if anyone had any questions or anything to add. There were none.

qD said "I want to thank lost for all the hard work she has done with membership, and also to thank Magicat for doing it before. Great job" "also remember to get those lotto blocks, orphan blocks to the antlers." "also remember to sign up for the Challenge, we had so much fun with Magicat's last year."  "Also remember to get you correct email addresses to Lost or Polly and addresses for snails they must be on roster for voting rights and membership requirement.  We had seven rejoin during January Amnesty month".

qD then asked for a motion to adjourn.

qD called the meeting to order.

qD called for a motion to accept the minutes from the last meeting that are posted on the website.

Hiload made the motion.

Smoky- seconded the motion

qD asked if there were any questions, there were none, so she called for the aye votes.

The motion passed with 13 aye votes, 16 members present.

qD then asked Kay for the Treasurer's report.

Kay-WA-treasurer> I have received $55.00 for the Opp quilt and sent to the bank, I received another check and am waiting on one more.

Then Smoky said "reports are also on the web site, so could we dispense with giving reports and ask if there are questions to each of the reports instead? And then vote to accept reports are presented after questions are answered?"

qD then stated "okay sounds good to me. Can I have a motion to accept the treasurers report and all reports on the web site and in the newsletter please"

Dr. Beth moved to accept.

Smoky seconded the motion.

qD asked if there were any questions. There were none, so she asked for the aye votes. There were 13 aye votes, 17 members present.

qD then moved on to the next topic. "Okay Ladies, now is the time to accept the nomination of Michelle/CA as our secretary, the board has approved her and we need the membership to do so. May I have a motion for Michelle"

Polly made the motion to accept Michelle/CA as the new secretary.

Lostberrypicker seconded the motion.

qD asked for questions, there were none. qD called for the aye votes. 14 ayes, 17 members present.

qD then asked Needles for an update on the upcoming Valentines Party.

Needles then reported "We will have a sweetheart party on the 18th of the month. Party time at 8:30 p.m. CST going until whenever. There will be door prizes so come and have some fun.

If any one wants to donate for the door prizes either contact me or qD. Thank you. End of report."

qD then stated "Thank you Needles and I have had some already contact me about donating door prizes"

qD then asked Lost and Polly for an update on membership.

Lost reported "As of today we now have 123 who have verified their information with us and another 7 have rejoin and we have one new member this past month. That is a total of 131 members we have heard from. End of report"

qD stated "Wow! That is so fantastic! Way to go girls."

Lost then stated "I will get rosters out shortly to those that want them."

qD then asked Dr. Beth for a report from the Antlers.

Dr. Beth gave this report for the Antlers "The Antlers are still hard at work trying to collect donations, please contact your local Antler for any supplies you may need to make a charity quilt to donate in the name of RPLOTN. Soon we hope to have a stash of batting, and fabric as well as "kits" put together for quick and easy charity quilts. We are also all in desperate need of Hobbs UPC codes in order to purchase batting for charity quilts. Please, please, please send those empty Hobbs packages to your local Antler so that she can buy batting. We need your help to make more charity quilts. Do you happen to have orphan blocks sitting around that you will never get around to putting into a quilt? Please package up your orphan blocks and UFOs (that you don't want or need anymore) and send them to your local Antler to put into a charity quilt that will help someone in need feel warm, safe and loved! The Antlers need your support!! If you have suggestions please feel free to contact any of us at any time. We are here to help :) And finally, we have discussed the charity/lotto block program and decided to extend all of the Antler blocks throughout the year. Please take a look at the Charity page to see each Antler's block selection. You can send as many sets of blocks to as many of the Antlers as you'd like. Each set (one block for charity and one block for the lotto) will consist of 2 blocks of the same pattern (they can be different fabrics) and will earn you" "Please support your charity program in any way you can!!! We look forward to a very charitable year!! End of report"

qD then stated "Thank you Beth and thank you Claudia, Brenda, Willo and Sara(Wendy) you guys have done a fantastic job so far. Brenda how many blocks have you received so far, Beth how many have you received so far?"

Dr. Beth stated "I have received 6 sets so far and I have been told there are more on the way as well"

Butterfly Brenda stated "none on the new blocks. I received blocks from you and one other person that has been sewed into a quilt."

Lost was then called upon by qD to make a statement.

Lost stated "I just want to add that anyone here who hasn't verified their information with Polly or I please do"

qD then stated "that is correct all information must be in roster so it can be verified in voting rights"

qD then called on Smoky for a report on the newsletter

Smoky reported "Any links that do not work, please let me know. Meeting stuff is removed from the newsletter and is now on the main site."

Polly was then called on by qD to make a statement.

Polly stated "I think the newsletter is the best ever! Thanks so much for doing such a great job!"

Smoky then stated "that is because you all sent great stuff!"

qD then stated "yes, thank you so much. It opens up real easy now that you made the pictures smaller"

qD then called on Glenda for a report on Birthdays and such.

Glenda reported "15 Happy Birthday e cards and posting on F/S BB made for month of January. Will you please send personal e cards when you see a Cyber-Buddy on the list? To be remembered is always nice. End of report"

qD then reported "QC is not here this evening, but the SSS program is up and running, if you want to join then please contact QC, she is looking for a couple more people to sign up to match with some who don't have SSS's yet."

qD also reported "GAquiltr has been sending out Warm Hearts to those in need, please let her know if someone needs the Hearts from us"

qD then reported that she has eight people signed up for the swap, and that she has already received some blocks. qD then asked who would like to run the next swap. Polly/TX said that she would do the next swap. qD told her to write up what type of swap she wants to do and to send it to Smoky for the Newsletter.

qD then brought up OLD BUSINESS.

qD stated "Opportunity Quilt is still available for $5.00 per chance or $25.00 for 6 chances. Get your money into Kay as soon as possible"

Kay/WA then asked "When do I have the drawing for the quilt? And how do I let people know?"

qD then suggested "What about at the party on Feb. 18?"

Smoky was then called on to ask "How do we know if our ticket made it in the drawing? Can we post who is in the drawing?"

Hiload then said that she would contact QC.

qD then asked "Kay is that okay with you, that we do the drawing at the party?"


Kay then stated "Sure, what time is the party?"

qD stated "8:30 pm CST, so lets say you let us know by 8 pm CST"

Hiload then asked "You don’t have to be there to win, do you?"

qD answered "No, hiload you don’t."

Smoky was then called on with a question "How do we know if our ticket made it in the draw?"

qD then suggested "Kay can you email those who have sent in money to let them know that they are in the draw?"

Smoky then pointed out that those whose tickets had not made it to Kay would not know if they were in the drawing or not, so she suggested that a list be posted of all who had tickets in the drawing.

It was decided that Kay would have a young quilter draw the winner on the night of the RPLOTN Valentines Party. At this point in the meeting, Needles requested to leave due to a bad headache.

Following Needles departure, qD stated "The newsletter has two of the opportunity quilts in it. The small one is a crib size and I would like the membership vote to have it sent to LH/MO for her first quilt show for a church in her area that is raffling off quilts and such. She has been a good member and since this is her first quilt show that she is managing and it is going to a good cause, I would hope you all agree"

Smoky moved to donate a quilt to LH’s quilt show, and Dr. BethMD seconded the motion. The motion passed with 9 for it and none against it.

qD gave Smoky the floor to discuss something for the website. Smoky wants to showcase members businesses on the website. Smoky asked "Do we want to allow advertising of our members businesses?" A discussion followed. Kay-WA said "I think we should keep it to members only". qD said "Yes, members only". Smoky said "I still won’t add cookies or pop ups". Dr. Beth said "I don’t think we should charge members, it should be a perk of membership." It was decided that due to copyright laws and infringement issues that Smoky would put up a listing of links to members websites that have things to sell. Smoky made the motion to accept this decision and Dr. BethMD seconded the motion. 12 aye votes, no nays, motion passes.

qD said "one last item. I will be posting to all sites tomorrow or Thursday. We will be having a guest lecturer, actually questions and answers by Miss Diane. She is a member of RPLOTN and does dyeing of fabric. It will either be Feb 14th, 15, or 22 or 23 time will be at 8:30pm. So be on the lookout for our first lecture series. This is CST, so that those on the West Coast get a chance to attend also. It was asked if a log could be posted of the lecture, and it was said that it could be posted on the website, but only with the permission of the lecturer."

qD then asked for a motion to adjourn the meeting, Dr. BethMD made the motion and Polly/Tx seconded the motion for the meeting to adjourn. Motion carries with 10 votes.

At the last second, Smoky asked for suggestions of names for the new web page listing the businesses, and qD suggested having a contest in the newsletter, and Smoky agreed.

General meeting January 12, 2006... MINUTES:

The General membership meeting of Jan 12, 2006 was called to order by President qD/quiltDonalyn   Those Present:  Polly, Claudia, Glenda, Lostberrypicker,Lulu, Needles, Magicat,  Quilt Crazy/QC, Willo, Sew and So, Wendy, Ess, Kay-WA,  Auntie Em, Annie-Tx,  Babs-TX,  Dachsie and qD   qD started the meeting by saying Happy Anniversary, that we are 10 years old,  and stated that Ed has been so wonderful in getting this site up and working and maintaining it.   Smoky has joined the meeting   qD stated: The first order of business is acceptance of reports as listed in newsletter, that is, Treasurer's Report and Minutes. Other reports will be done in sequence here tonight   ess has joined the meeting   qD reminded everyone to use ! for comments and ? for questions   Glenda made a motion to accept Reports as listed in NL Needles seconded the motion Discussion followed qD called for the question Motion carried   Needles gave the following report on our January Party   Our party for the month of Jan. will be the 21st at 8:00 p.m. until whenever. The theme this month is "Welcome Back".   It will be a chat session instead of prizes and the purpose is to get re- acquainted with the oldies and also the newbies, so come one come all.   qD reminded everyone to mark their calendars for this party.   Lostberrypicker gave the following report on the membership:   First I want to say that I am new to this group having been here less then a year. At first I wondered what I have gotten myself involved in.   Well now I want to say that this group is alive and well. As of this afternoon 70+ people have confirmed and verified that they want to stay in the group including many old members and 5 people have rejoined the group. Thanks to all for proving that we have a reason for being here.   Polly commented:  Thanks Lost...you're doing most of the work and very well, I might add.   qD commented:   Yes, both of you are doing a great job and I thank you, too, Ladies, I do want to apologize for sending out duplicate and posting duplicates, but I found a list of emails that somehow got misdirected   Smoky commented:  may I express my thank you to lost for taking on a responsible position so soon and to Polly too for continued support   Wendy has joined the meeting   qD asked:  We will be getting a new update on the roster Lost?  I know that Kay and QC will need an update real soon   Lostberrypicker stated:  I think we should wait till the end of the month for more updates. Then I will send a roster out however, if someone wants one sooner please let me know.   It was agreed that we should  post a welcome back page on the RPLOTN web site and can we encourage a "what are we doing now" blurb from people for that page?   Dachsie has joined the meeting   Smoky commented that 70 active members is a great start for the new year.   Smoky gave the following report on the Trading Card Quilt and Newsletter: trading card quilt - still needs work for details - will get to it shortly. You can get the opportunity page and the opportunity quilt is  linked thru the side bar of the main page - no need to type more than www.rplotn.com and I am looking for people to help create the pages for the newsletter.   QC has volunteered to help Smoky with the newsletter   Willo has joined the meeting   qD reported that GaQuilter's Warm Heart report is in the newsletter as she could not be here tonight.   Glenda gave a Birthday and Anniversary report as follows:   25 cards sent...only 8 were picked up....2 relies rec'd here....will continue to use F/S RPLOTN Board for those who cannot get theirs...The Happy Birthday Wishes are as warm there and anywhere....and suggested it might be nice if members who read the BB would send a e mail to the Birthday Girl   qD suggested we post to the website that let's everyone know that they are angelwink cards and that must accept them   Willo wished to thank everyone for the heart blocks that were sent her way. She is I  making a cushion from them   QC gave a report on the SSS program:   I have had 7 people sign up and 1 wants to, but is not a member of the guild. It has only been active 12 days   qD commented:  I think we need to make SSS big and also when we send out the new roster we should include join SSS. I think that way more will sign up.   QC stated that the lady who did it in the past said she had people join off and on during the year.  But that everyone would be finishing at Christmas.   qD suggested we can send out a mass email to everyone on the Roster ask if they would like to be a SSS. Quilt Crazy said she would do it when the new roster is out and said she would take any one that is a member of the guild anytime of the year and when there is enough people will assign SSS's.   Old Business was discussed:   qD reported:  Amnesty questions has been posted by a member on the FS BB, and the answer is yes it was voted by membership at the November meeting, you can see the log on the November Newsletter   qD also reported:   Regarding the $500.00 to Antler's the board thought that it would be advisable since we would automatically send $100.00 petty cash to one Antler, and since these ladies are all over the USA and Canada we went ahead a did it. We also forgot to take the vote on this item at the Nov meeting, something must have gotten in the way and we forgot. Plain and simple.   QC made a motion we pay each Antler $100 petty cash according to the by laws to be given to Charity upon the start of each new year.   Willo  seconded the motion.   Discussion followed   Smoky commented that it was a good idea and the only way we can afford to send stuff out.   qD called for a vote on the motion.    Motion carried   qD then discussed the Opportunity Quilt mentioned on the website.   Kay-WA has joined the meeting   qD stated: We have also made up a stub for information to be sent to Kay when sending in for chances to win this quilt. The blocks were made by Annie, Peggy/TX, LS, JO, and others, I put the top together measuring 76 1/2" x 88 1/2" and machined quilted by TY/TX and bound by me.   The chances have to be at Kay's no later than February 10th, drawing will be February 14th at Kay's discretion. The cost is 6 chances for $25.00 or $5.00 for 1, this was voted on last month by membership.  Also you don't have to be a member to take a chance, offer chances to neighbors, sisters, mothers, aunts, uncles, DH or anyone, as long a check is made payable to RPLOTN. We do have an EIN so we are safe.  Let's see how much we can make on this quilt, we also have two other quilts, one is an oversize lap quilt which we will do in May for Mother's day and the other is a crib size quilt.   Glenda stated that the stub prints off real easy.   Smoky commented that we needed to make a note on the site that it is US dollars.   Claudia gave the following Charity\Comfort Report:   So far the Antlers have been kind of quiet. I am hoping now after the new year we will be getting started on our projects.  We are going to get together for a meeting soon. I think Beth has the info the Jan lotto block, I think she was sending it to the site or newsletter.   I am working on a quilt for a family here in Harwood from Liberia, this was a case in which I wished I had a couple quilts done. So that is what I am working on. thanks.   qD thanked Claudia and suggested if anyone has anything for this family let Claudia know, they are just starting out with nothing   Smoky suggested: If there are other charity quilts ready from others, then they could send them to Claudia for this family just need to ask.  And Claudia said she would put the word out if she needed to.   Glenda suggested Since Antlers is so new...may I suggest we have an article written up explaining how Antlers is to work....  And it was suggested that this could be the lead story for the February Newsletter with bio's for the antlers.   qD gave  the following report on the Lotto Blocks:  Okay Lotto Block for this month is to be sent to Beth, it is under Lotto Block, drawing of winner of Lotto Blocks will be at the next meeting. qD: Please sign up for the Swap of 9patch and snowball blocks, I have a total of 6 so far signed up and as soon as I know how many sign up by Jan 30th I will let all know how many blocks to make and send to me. Instructions will be updated on the web site with in the next few days.   New Business   qD reported:  It has been brought to my attention that when someone has lost a loved one or has a birthday, but doesn't want it to be published, we should be able to let them know. So I would like to suggest that we allow GaQuiltr and Glenda to purchase a box of cards and stamps and be reimbursed by the guild for said items.    Smoky made a motion to allow GaQuiltr and Glenda to purchase a box of cards and stamps and be reimbursed for these items.   Polly seconded the motion.    Discussion followed.   Motion carried.   Smoky thanked Willo for all her work in tracking down a lost quilt.  We now know where it is but is unable to get it back. It was from a round robin in 1998. The person involved is no longer a member therefore we don't see this happening again.   Needles commented: I would like to say to all who have come back and to all of our new members that have join. We want this to be the best yr. that RPLOTN has ever had. Any thing in the past is in the past.
